Package Travel Regulations
Your Key Rights
Travellers will receive all essential information about the package before concluding the package travel contract.
There is always at least one trader who is liable for the proper performance of all the travel services included in the contract.
Travellers are given an emergency number or details of a contact point where they can get in touch with the organiser or travel agent.
Travellers may transfer the package to another person, on reasonable notice and possibly subject to additional costs.
The price of the package may only be increased if specific costs rise (for instance fuel prices), and if expressly provided for in the contract, and in any event not later than 20 days before the start of the package. If the price increase exceeds 8% of the price of the package, the traveller may terminate the contract. If the organiser reserves the right to a price increase, the traveller has a right to a price reduction if there is a decrease in the relevant costs.
SPECIAL NOTE: KE Adventure Travel guarantees that the 'Land Only' price of your holiday will not increase under any circumstances once you have received your booking confirmation (except where you request additional services after you have received your booking confirmation).
Travellers may terminate the contract without paying any termination fee and get a full refund of any payments if any of the essential elements of the package, other than the price, are changed significantly.
If before the start of the package the trader responsible for the package cancels the package, travellers are entitled to a refund and compensation where appropriate.
Travellers may terminate the contract without paying any termination fee before the start of the package in the event of exceptional circumstances, for instance if there are serious security problems at the destination which are likely to affect the package
Additionally, travellers may at any time before the start of the package terminate the contract in return for an appropriate and justifiable termination fee.
If, after the start of the package, significant elements of the package cannot be provided as agreed, suitable alternative arrangements will have to be offered to the traveller at no extra cost.
Travellers may terminate the contract without paying any termination fee, where services are not performed in accordance with the contract and this substantially affects the performance of the package and the organiser fails to remedy the problem.
Travellers are also entitled to a price reduction or compensation for damages or both where the travel services are not performed or are improperly performed.
The organiser has to provide assistance if the traveller is in difficulty.
If the organiser or the retailer becomes insolvent, payments will be refunded. If the organiser or, where applicable, the retailer becomes insolvent after the start of the package and if transport is included in the package, repatriation of the travellers is secured. Choosing your holiday
It is important that you choose the right kind of holiday for you, and one that is well-suited to your experience and capabilities. Please read for further detail on the levels of difficulty of our different holidays. The KE team have first-hand experience of a majority of the trips that we offer, and will be happy to talk to you about your chosen trip, enabling you to assess its suitability.
Before you book
Before booking a holiday with us please ensure that you are aware of the following important issues:
Travel Insurance - Suitable travel insurance is mandatory for all customers travelling on a KE holiday.
Passports - Most of the countries we visit require you to have at least 6 months validity on your passport (at the completion of your trip).
Visas - Some of our holidays require one or more entry visas. Please ensure that you have adequate time to arrange these prior to departure. You must allow at least one free page in your passport for each visa required.
Vaccinations - Some of our holidays will require you to have vaccinations before you go.
Once you have decided which holiday you are interested in, please ensure you read through the Holiday Information included on the trip page, and you can also download a copy of the Trip Notes. You should also ensure that you read through the Booking Information and Booking Conditions.
Making a booking
The easiest way to book is online via the web page of the trip that you are interested in. Simply click on your chosen departure date, select whether you are travelling on a with or without flights basis and you will be taken to our quick and easy online booking form. Deposit payment
To secure your booking we require a non-refundable deposit. Some holidays will require a higher deposit than others, and this will be confirmed as part of the booking process. Deposit amounts can also be viewed in the pricing information on the Dates & Prices page for each trip. Many of our trips fill up quickly, so to guarantee a place on your chosen departure date we advise you to book as early as possible. Please note that on occasion we may need to take an additional payment to secure your booking, for permits or flights that need to be ticketed early for example. Again this will be flagged up at the time of booking and will be confirmed in your booking confirmation.
Late booking
Full payment by debit or credit card is required at the time of booking if your reservation is made less than 8 weeks prior to departure.
Payment methods
You can make payments either by credit or debit card. We accept Visa, Mastercard, Maestro and American Express. Please note that no card charges will be applied.
Confirming your booking
On receipt of your booking and deposit payment, we will send you a full written confirmation, together with your invoice. The final balance payment date, and any early payments, will be shown on your invoice. The confirmation will include your personal details, flight information (if booked with KE and available to confirm), joining instructions and trip itinerary. The joining instructions will explain when and where you need to be to start your trip and, if on a Guided Group holiday, when and where to meet up with your KE Leader and other group members. A copy of the trip notes which include information on visas and a kit list, can be downloaded through your MyKE account.
For all trips, you will be provided with a local contact number in case of delays or an emergency. We will not send out any further information prior to travel, other than your air e-tickets (if booked through us). However, if there are any changes to your joining arrangements or arrival point, we will of course keep you updated.
Managing your booking via ‘MyKE’
If you are new to our website you will be issued with a ‘MyKE’ account on submitting your booking. A confirmation email will be sent to you with your account activation link, which you will need to click to create your account password. Existing ‘MyKE’ account holders can log in at the start of the booking form to speed up the process.
You can view and manage your booking via 'My KE'; update your information, enter passport details, select equipment hire, check your account summary and make payments. On return from your holiday, you can also submit your trip feedback, enter your online review and share your photos and videos.
Land Only bookings
If you have booked on a Land Only basis (ie without flights), you must check that your chosen holiday is 'Guaranteed’ to operate - BEFORE booking and paying for your own flights. You can check the trip status on the dates and prices table on the trip page or by contacting the KE office. We cannot be held liable, in cases where we cancel your trip, for losses incurred relating to any flight booking you have made and recommend that wherever possible you buy fully-refundable tickets.
Final payment
You must ensure that you forward the balance payment to us on the date shown on your invoice, which in most cases is 8 weeks prior to departure. All balance payments must be made in the currency selected at the time of booking, i.e. the same currency as your deposit payment. If we do not receive payment by the date shown on your invoice, we reserve the right to cancel your booking and apply any cancellation charges.
Making changes
If any of the information given on your booking form should change, for example passport number or contact details, it is important that you advise us immediately. Failure to do so may result in airlines or government authorities levying charges for which you would be liable. You can check your booking details are correct via your ‘MyKE’ account.
Should you wish to alter your holiday booking once it has been made, eg to arrange a later flight home, an administration fee of £25, plus any further costs incurred, will be charged.
If you wish to add equipment hire to your booking, we will make the necessary arrangements and send you a revised account statement, due for payment no later than 8 weeks prior to departure.
Transferring your booking
If you decide to transfer your booking to an alternative departure or holiday, an administration fee of £100 plus any further costs incurred will be charged. However, please note that other than in exceptional circumstances we are unable to transfer your booking to an alternative holiday later than 10 weeks prior to the trip departure date. We have undertaken to guarantee that the ‘Land Only’ price of your trip will not change once you have booked your holiday.
